Getting started, reports, iCloud guidance and troubleshooting for SEN Evidence Tracker.

SEN Evidence Tracker helps parents and carers record concerns, support needs, events and positive progress over time, then prepare clear summaries and PDF reports for meetings and reviews.

The app is coming soon. Guidance on this page will be checked against the final App Store version before release.


Getting started

  1. Open the app and create or select the person or record set you want to use.
  2. Add a short evidence record while the details are fresh.
  3. Include only the context that will be useful later, such as date, duration, impact and what support was needed.
  4. Review your summary regularly so you can correct or add context while you still remember it.

Create and manage evidence records

Use a new record for a concern, significant event, example of support needed or positive progress. Keep the title short, then add enough detail to make the record understandable later.

You will be able to review saved records and update or delete them using the controls in the app. Avoid including unnecessary identifying, medical or school details.

Summaries and reports

Summary views bring together the records in a chosen period. A summary can help you review frequency, duration, impact, support needs and progress without relying on memory alone.

PDF reports are generated from the information you select. They organise your records but do not provide professional conclusions or guarantee an EHCP, diagnosis, funding decision or other outcome.

Export or share a PDF

  1. Open the reports area and choose the relevant person, date range and report options.
  2. Generate and review the report.
  3. Use the iOS or iPadOS share sheet to save, print or share the PDF.

Check the complete report before sharing it. Once a PDF leaves the app, access depends on where you save it and who you send it to.

iCloud sync

The intended release uses your private iCloud account to keep records available across supported Apple devices when iCloud is enabled and available. This behaviour is still being verified against the final release build.

For syncing to work, check that each device:

  • Uses the same Apple ID
  • Has iCloud Drive enabled
  • Allows iCloud access for SEN Evidence Tracker
  • Has a working internet connection
  • Is using the latest available version of the app

Allow a little time for a recent change to appear. Do not delete the only copy of an important record while troubleshooting sync.

Troubleshooting

Data is not appearing on another device

Confirm both devices use the same Apple ID and have iCloud Drive and app access enabled. Open the app on both devices while connected to the internet, then allow time for syncing.

Reports are not generating

Check that you have selected a record set and a date range containing saved evidence. Close and reopen the app, then try a shorter range. If the problem continues, tell support which options you selected, without sending the evidence itself.

A PDF cannot be shared

Try saving the PDF to Files first. Check that your device has free storage and that the destination app is available. Restart the app if the share sheet does not appear.

The app appears empty after reinstalling

Make sure you are signed in to the same Apple ID and that iCloud access is enabled. If records were stored only on the previous device and were not synced or backed up, reinstalling may not restore them.

iCloud is disabled

You may still be able to use records stored on that device, but they will not sync through iCloud. Enable iCloud Drive and app access in Settings if you want syncing and the final release supports it.

You changed Apple ID

iCloud data belongs to the Apple account that stored it. Records from one Apple ID do not automatically move to another. Sign back into the original account only if it is safe and appropriate to do so, or contact Apple Support for account help.

Layout or display problems

Update iOS or iPadOS and the app, then restart your device. Tell us whether you use larger text, display zoom, landscape orientation or another accessibility setting so we can reproduce the problem.

How to report a bug

Email a short description of what you expected, what happened instead and the steps that led to it. A screenshot can help if it does not show sensitive information.

Email [email protected] and include:

  • App name: SEN Evidence Tracker
  • App version, shown in the app's settings or on its App Store page
  • iPhone or iPad model
  • iOS or iPadOS version
  • A clear description of the problem
  • A screenshot, where appropriate and safe

Do not email evidence records, reports, or sensitive personal, medical, school or identifying information about a child. A general description is usually enough to begin troubleshooting.
